Information we collect

When you complete a contact form or email us, we may collect your name, company name, email address, telephone number, and the details of your enquiry. If we work together, we may also keep information needed to plan and deliver your project, along with related correspondence and financial records.

When you use our website, Wix and Google Analytics may collect technical information such as your device and browser details, pages visited, and how you arrived at the site. Cookies and similar technologies may be used as explained below.

How and why we use your information

We use your information to:

  • Respond to enquiries and discuss your requirements.

  • Prepare quotations and take steps towards a contract at your request.

  • Plan and deliver exhibition stand projects.

  • Manage our business records and meet legal obligations.

  • Keep the website working and secure.

  • Understand website use and improve the site, where you have consented to analytics cookies.

Our legal basis depends on what we are doing. We rely on our legitimate interests to respond to business enquiries and protect our website; steps taken before entering into a contract or performance of a contract when arranging and delivering work; legal obligations for records we must keep; and your consent for non-essential analytics cookies.

Contact forms and email

Messages sent through our website contact forms are delivered to our Wix Inbox and our Google Workspace email account. We use those messages to respond to you and manage your enquiry. Please avoid including sensitive personal information in a website enquiry unless it is necessary.

Cookies and Google Analytics

Our website uses cookies needed for it to function. We also use Google Analytics to understand how visitors use the site. The cookie consent banner lets you choose whether to allow non-essential cookies, including analytics cookies. You can change your choice using the cookie settings control on the website.

For more detail about the cookies in use, please see the cookie information available through our consent banner.

Who we share information with

We use Wix to host and operate our website and contact forms, and Google Workspace to manage email. We use Google Analytics for website measurement when you consent. These providers process information on our behalf to provide their services.

We may also share relevant information with suppliers who help us deliver a project, or with professional advisers and authorities where necessary or required by law. We do not sell your personal information.

How long we keep information

If your enquiry does not lead to a project, we normally keep the enquiry and related correspondence for up to 24 months after our last meaningful contact, then delete or anonymise it unless there is a reason to keep it longer, such as an ongoing dispute.

If you become a client, we keep project information for as long as reasonably needed to deliver the work, manage the relationship, and handle any follow-up matters. We keep financial and tax records for the period required by law, generally at least six years where applicable. Website analytics information is retained according to our Google Analytics settings and your cookie choices.

Transfers outside the UK

Some of our service providers may process information outside the UK. Where this happens, we use providers that rely on recognised legal arrangements for international transfers, such as adequacy regulations or appropriate contractual safeguards. Contact us if you would like more information about a particular transfer.

Your rights

Depending on the circumstances, you may have the right to access your personal information, correct it, ask us to delete it, restrict its use, object to its use, or receive a copy in a portable format. Where we rely on consent, you can withdraw it at any time. This does not affect how we used your information before you withdrew consent.

To exercise a right or ask a privacy question, email info@4matix.co.uk. You can also complain to the UK Information Commissioner’s Office at ico.org.uk. We would appreciate the opportunity to address your concern first.

We may update this notice when our website, services, or use of personal information changes. The latest version will be available on this page.
